Video Production Manager

We’re looking for a highly organised and proactive Video Production Manager to support the planning, coordination, and delivery of film and animation projects across Whitenoise.

This role will focus on the operational and administrative side of all our film and animation projects, ensuring they run smoothly from kick-off through to delivery. They will be the support for the internal film and animation teams, as well as the go to for all client requests. The successful candidate will work closely with and report to the Head of Film, helping manage schedules, resources, budgets, workflows, client communication, and day-to-day delivery across the film and animation teams.

What you will do:

Project and production management

  • Manage multiple film and animation projects simultaneously from planning through to delivery

  • Create and maintain project schedules, timelines and production plans

  • Coordinate internal teams, freelancers, suppliers, voiceover artists, and external production partners

  • Manage team resourcing and workloads across projects

  • Organise project meetings, reviews, approvals, and delivery milestones

  • Maintain oversight of budgets, timelines, risks, and project status

  • Support quotations, estimates, invoicing, and scope management

  • Ensure project documentation, feedback, and approvals are accurately maintained

  • Help improve production processes and operational workflows

  • Provide occasional on-site production support during filming days


Client management and communication

  • Act as a day-to-day contact for clients across all projects within film and animation teams

  • Manage project communications via email, calls, meetings, and presentations

  • Clearly communicate timelines, deliverables, feedback stages, and project expectations

  • Coordinate and consolidate stakeholder feedback into clear actions for production teams

  • Build strong client relationships through proactive and professional communication

  • Handle changing priorities and project pressures calmly and confidently


Team & department support

  • Work closely with the Head of Film to support operational efficiency

  • Encourage strong collaboration across film, animation and brand.

  • Help maintain high standards of delivery, organisation, and client service across all projects



Essential skills:

  • Experience managing multiple creative or production projects simultaneously

  • Strong organisational and time management skills

  • Excellent communication and client relationship management abilities

  • Experience managing schedules, budgets, quotations, and invoicing processes

  • Ability to coordinate internal teams, freelancers, and stakeholders effectively

  • Calm, proactive, and solutions-focused under pressure

  • High attention to detail and strong administrative skills


Desireable experience: 

  • Experience working within the film/video production industry, or

  • Experience within a creative agency or communications environment, or

  • Experience working in event management or live production coordination

  • Understanding of accessibility and inclusive communications

  • Experience working with public sector, education, healthcare, or infrastructure clients

  • Familiarity with project or production management platforms

We’re looking for someone who is highly organised, commercially aware and confident at managing creative projects and client relationships within a fast-paced environment. You will likely have experience in production management, project management, account management, or operations within a creative agency, production company or events environment.

You understand the demands of working within a creative studio and recognise the importance of maintaining a healthy balance between work and personal life. You are confident in managing your own workload as well as that of others and you communicate openly when support is needed.


What success in this role looks like:

Within 6 months 

By the 6 month mark, the successful candidate will be a trusted and well-integrated member of the Whitenoise film and animation team, with a strong understanding of our clients, workflows, creative approach, and operational processes.

They will confidently manage the day-to-day coordination of multiple projects, including scheduling, logistics, resourcing, freelancer coordination, client communication, budget tracking, and delivery oversight.

Success at this stage will include:

  • Building strong working relationships across the film, animation and wider studio teams

  • Taking ownership of project planning, scheduling, and delivery coordination across active projects

  • Managing client communication professionally and confidently across meetings, calls, emails, and feedback processes

  • Supporting smooth coordination of internal resources and freelance support

  • Demonstrating strong organisation, reliability, and proactive problem-solving across multiple concurrent projects

  • Helping maintain high standards of delivery, quality control, and client satisfaction

  • Reducing operational and administrative pressure on the Head of Film through confident project management and coordination support

At this stage, the successful candidate should be viewed internally as a dependable operational lead who helps projects run smoothly and efficiently, enabling the Head of Film to focus more heavily on creative direction, storytelling, innovation, and team development.


Role extension - beyond 6 months

If this role is extended/made permanent, by the 12 month mark, the Video Production Manager will be fully embedded within the department and confidently delivering across all core responsibilities with a high level of autonomy and ownership.

They will act as a key operational and client relationship lead across the Film and Animation teams, supporting delivery excellence, operational efficiency, and long-term client growth.

Success at this stage will include:

  • Independently managing complex film and animation projects from initiation through to delivery

  • Building strong, trusted relationships with clients, stakeholders, freelancers, and internal teams

  • Becoming a reliable and valued client contact, known for professionalism, responsiveness, and collaboration

  • Identifying and implementing improvements to workflows, scheduling, resourcing, and production processes

  • Supporting stronger commercial performance through improved planning, resource management, and operational efficiency

  • Helping strengthen client retention, delivery consistency, and overall department performance

  • Confidently coordinating internal teams and freelance support during busy production periods or changing project demands

  • Creating greater operational stability and consistency across the department

Ultimately, success in this role means becoming a central operational pillar within the film and animation department, helping Whitenoise deliver exceptional creative work while strengthening the systems, relationships, and processes that support it behind the scenes.
